Office Administrator
Our client, a well-established international player in the online entertainment and sports betting sector, is seeking a competent and proactive Office Administrator to join their Malta-based team. The ideal candidate will support the day-to-day operations of a dynamic office environment while also acting as a personal assistant to the board of directors.
Key Responsibilities:
- Serves as the primary point of contact for all office-related matters.
- Provides personal assistance to the board of directors, including managing appointment calendars and maintaining an events calendar.
- Prepares and compiles documents requiring director signatures and ensures proper filing and return to the sender.
- Greets visitors and handles incoming requests with professionalism.
- Organizes and distributes documentation from both internal and external sources.
- Manages daily errands and supports smooth office operations.
- Schedules meetings and prepares meeting rooms accordingly.
- Collaborates closely with the HR Manager on HR-related duties.
- Coordinates travel arrangements including flights, accommodation, and transport.
- Prepares expense reports and manages petty cash and company credit cards.
- Coordinates invoice handling and maintains an organized archive of both paper and digital documents.
- Acts as the company’s Health & Safety representative.
- Supports GDPR compliance through proper document archiving as per regulatory requirements.
- Oversees meeting room bookings and general office administrative duties such as scanning, copying, and filing.
- Assists with organizing team events, office activities, and business/visitor trips.
- Maintains and negotiates insurance contracts and renewals.
- Provides administrative support to employees as needed.
- Orders and manages office supplies and equipment inventory.
- Assists with audits as required.
- Performs all other duties that may be assigned from time to time.
Requirements:
- Proficiency in written and spoken English and Maltese.
- Excellent command of Microsoft Office, particularly Excel.
- Strong attention to detail, capable of multitasking, and self-motivated.
- Able to organize responsibilities independently while supporting the wider team effectively.
- Deadline-oriented with a proactive attitude.
- Previous experience in a similar role will be considered an asset.
